The Administration Lead and Finance/HR Support will manage bookkeeping and support accounting cycles, support all HR functions, and handle all administrative tasks, including support for the CEO. The role is responsible for streamlining team communication and improving efficiency in project execution and reporting.
Responsibilities
Finance Support
Perform day-to-day and month-end bookkeeping tasks for full-cycle accounting
Support monthly reconciliation and preparation of reports
Manage A/R and A/P under the direction of the Controller
Support management of purchase orders and invoicing
Support payroll
Assist with quarterly and annual filing requirements (HST returns, year-end reviews, funding programs)
Support management of claims for funding agencies
Support applications for grants and non-dilutive funding
Support data-mining and tracking of metrics
Provide support for board meetings and communications
Administration
Support remote collaboration and meeting coordination
Lead management of co-working spaces
Help set up and maintain office environment, including organization and overall function
Assist with scheduling internal and external meetings
Provide or source IT support when needed
Manage company documents and file architecture in Office 365 (Sharepoint, Teams, OneDrive)
Maintain all office equipment and supplies
Manage shipments and incoming and outgoing mail
Support documentation and confidential storage of employee files
Provide support for recruitment and on-boarding of new team members
Support CEO and team leaders with all administrative tasks
Human Resources
Support recruitment, including preparation of job descriptions, job postings, and resume screening
Support interviews
Support on-boarding of team members, including set up of employee files and set up of payroll
Support management of payroll and benefits
Help coordinate training
Support development and implementation of HR systems
Qualifications
1+ year of bookkeeping experience and credentials
Capable of working in and supporting ERP integration
Strong computer skills with working proficiency in MS Office, CRM, and ERP
1+ year of HR-related experience
1+ year of administrative experience
Previous experience in food and beverage processing or consumer packaged goods is considered a strong asset
University or college degree in Business, Commerce, Marketing, Food Science or related fields
