Position Overview:
As Facility & Office Manager, you will oversee the company’s facilities, ensuring that our offices and laboratories operate smoothly, safely, and efficiently. Your role will combine facility management (maintenance, safety, optimization) with office management (day-to-day operations, organization, and team support). By creating a productive, well-maintained, and inspiring work environment, you will directly contribute to Bon Vivant’s mission and employee satisfaction.
Your Missions :
Facility Management
Oversee the day-to-day operations of the laboratory, ensuring the proper maintenance and organization of all equipment, infrastructure, and facilities. This includes implementing and monitoring Health & Safety rules and procedures, in support of the Quality Manager, to ensure a safe working environment for all lab personnel.
Manage the procurement process for common laboratory supplies:
Place and track orders for lab materials and consumables.
Monitor stock levels and anticipate needs to avoid any supply disruptions.
Ensure timely follow-up on deliveries and coordinate with suppliers to guarantee accurate and on-time deliveries.
Supervise and coordinate external service providers for the lab, including maintenance, safety inspections, HVAC systems, and cleaning services, ensuring quality, safety, and compliance with industry standards.
Office Management
Ensure the smooth and efficient operation of the office, fostering a welcoming and organized work environment.
Monitor and optimize office expenditures, ensuring cost efficiency while maintaining service quality.
Manage office supplies and logistics, including purchases, inventory, and vendor contracts (catering, utilities, cleaning services, etc.).
Oversee meeting room coordination and general office scheduling.
Support the HR team with operational logistics for:
Onboarding of new employees (workspace preparation, equipment setup, welcome packs).
Organization of company events, workshops, and team-building activities.
Key Responsibilities:
Manage facility maintenance, ensuring equipment reliability and safe, uninterrupted operations.
Plan and execute budgets for both facilities and office-related expenditures.
Foster a positive, welcoming, and organized work environment for all employees.
Act as the point of contact for office and facility issues, ensuring prompt troubleshooting and resolution.
Continuously improve office processes and create a well-organized infrastructure that supports company growth.
