Opportunity
The focus of this role is to provide comprehensive support to ensure the smooth and efficient operation of a dynamic and growing company across multiple sites. This is a varied and hands-on role within the Operations department, encompassing both maintaining existing processes and developing new ones to uphold operational excellence across MiAlgae's sites.
You will oversee the functionality and presentation of MiAlgae’s Edinburgh office while providing essential operational support to the company’s production facilities. This will involve engaging with external partners, suppliers, and stakeholders to secure competitive pricing for process materials and services.
The role requires flexibility, adaptability, and the ability to thrive in a fast-paced environment. Strong negotiation, interpersonal, and organizational skills are essential, as is the ability to prioritize workloads effectively across departments and sites. A proactive, hands-on approach to tasks is expected, with regular presence required at the company’s premises.
Duties
Oversee the smooth running of offices across different sites, including facility maintenance and operations.
Develop and manage office systems and processes to enhance efficiency.
Ensure compliance with building regulatory requirements and maintain building management documentation across all sites.
Monitor and maintain databases related to office and lab energy efficiency.
Liaise with contractors to manage maintenance, contracts, and office upkeep.
Source and negotiate contracts for office equipment, facilities, and services.
Monitor and manage stock levels of equipment, consumables, and stationery.
Support adherence to HSE regulations at production facilities, including organizing training, ensuring equipment certification, and maintaining documentation.
Coordinate office events such as staff meetings and group gatherings.
Assist with employee induction processes in operational areas at Edinburgh offices and production site.
Manage external correspondence, including answering phone calls and managing email inboxes as needed.

Qualifications and Experience:
Essential
Relevant business support or professional qualification.
Proven experience in a busy operations team, ideally within a small company.
Familiarity with building management requirements, including H&S and maintenance.
Highly motivated with excellent multitasking and prioritisation skills.
Exceptional attention to detail.
Ability to work independently with minimal supervision.
Strong communication skills and professional, confident demeanour.
Experience negotiating with suppliers to secure competitive pricing.
Proficiency in MS Office (Word, PowerPoint, Excel).
Professional approach to outward-facing communication.
Willingness to adapt to diverse operational roles as needed.
Full driving license.
Desirable
Strong knowledge of HSE building and plant safety requirements, including regulatory documentation.
Familiarity with office and building management procedures.
Proven experience in creating and maintaining a productive office environment.
Experience working in a fast-paced SME environment.

Timeframe: Full time, standard working hours.
Location: Based in Edinburgh Offices with expectation to travel to Balfron, Glasgow, when required.
