Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.
Responsibilities
Collaborate with the Vice President & Site Manager to identify tasks and activities that can be delegated to the Executive Coordinator. Complete the delegated assignments as agreed upon. Handle highly confidential information in a professional manner.
Act on behalf of the Vice President & Site Manager concerning all non-technical, administrative topics: lead and manage important projects; implement high-profile initiatives; and carry out other strategic tasks that have a significant impact on the business.
Manage communication from the Vice President & Site Manager to the department and identify opportunities to generally improve communication between different stakeholders (e.g. management team, employees, & departments outside Site Management).
Organize department-wide meetings and events, as well as meetings and events specific to the management team including senior executive visits.
Prepare moderately complex documents using a variety of computer applications such as Microsoft Office. Also responsible for gathering and summarizing data for reports.
Lead weekly staff meetings: capture action items, and work with management team or other stakeholders to ensure follow-up.
Provide assistance to TI Regional Managers. This includes but is not limited to: assist in coordinating travel, filing expense reports in Concur, ordering office supplies, and preparing correspondence i.e. letters, e-mail, reports, presentation, and other business-related documents.
Manage existing administrative processes, introduce and supervise improvement initiatives.
Responsible for the Employee Activity Center (EAC), administrative building, collaboration hub and the credit union buildings. Responsibilities include conducting safety & health inspections and being the point of contact for all issues (maintenance, room scheduling and CAPEX for upgrades).
Liaise with Corporate Services, IT, FS, Procurement ,and HR as necessary.
Manage contract employees and interns as applicable.
Site administration vehicles – inventory and replacement management.
Requirements
A four year bachelor degree in business, organizational/communication management, or in a technical discipline is required.
The incumbent should possess strong organizational and task management skills.
A proactive work style and a natural inclination to take the lead are crucial for this role.
The incumbent should be able to provide past examples of improvement initiatives, project management and/or other forms of leadership.
This position requires at least two years of experience working closely with upper management levels. The incumbent should be confident and comfortable working with (international) executives in a professional manner.
The incumbent must be politically savvy and able to function effectively in a highly complex and matrixed organizational structure.
Strong influencing skills and the ability to get results in the absence of formal authority are indispensable for this role.
Impeccable integrity, discretion, tact, and the ability to handle highly confidential information are vital.
This position requires an incumbent to be a strong leader and independent thinker who can deliver results, and who is also willing to take direction from the Vice President & Site Manager
Must be able to operate within parameters that may be fluid and ambiguous at times.
